Consulting Cancellation & Refund Policy

1. Overview of Consulting Engagements

Futuretempohub Consulting Co., Ltd. provides specialized, human-delivered engineering advisory services, including AI readiness assessments, codebase architectural audits, and senior technical retainers. Because our consulting capacity involves reserving dedicated senior software architects and committing substantial diagnostic analysis hours, this policy outlines the terms under which cancellations, deposit refunds, and session rescheduling are handled.

2. Cancellation Windows & Deposit Refunds

For fixed-scope advisory projects (such as the 3-week AI Readiness Assessment or 2-week Modernization Audit), fees are billed across two milestones (50% initial retainer deposit, 50% upon final deliverable handoff).

• Cancellation Prior to Repository Onboarding (Full Deposit Refund): If the Client issues written notice of cancellation more than five (5) business days prior to the agreed project commencement date and before repository access tokens or codebase bundles are transmitted, the initial 50% deposit will be refunded in full, minus any third-party bank wire transfer processing fees.
• Cancellation After Work Has Commenced (Partial Pro-Rata Refund): If cancellation is requested after repository static analysis or architectural interviews have started, the initial deposit is non-refundable. Any billings for subsequent unperformed milestones will be canceled, and the Client will receive all intermediate diagnostic notes and AST analysis charts generated up to the official termination date.

3. Non-Refundable Items & Services

The following items and completed work stages are strictly non-refundable:

• Completed Phase 1 Discovery and AST Static Code Analysis reports delivered to the Client.
• Conducted architectural alignment workshops and senior engineer interview hours.
• Monthly retainer allocations for dedicated on-call technical advisory once the billing cycle has elapsed.

4. Rescheduling Review Sessions & Working Workshops

We understand that active engineering sprints and production incidents may occasionally necessitate rescheduling planned review sessions:

• Advance Notice: Review sessions may be rescheduled without penalty with at least twenty-four (24) hours' advance written notice via email.
• Missed Sessions / No-Shows: If a scheduled architectural review or debrief session is missed without prior notice, our team will document the agenda items offline and provide an asynchronous briefing to prevent project timeline delays.

5. Refund Request Process & Processing Times

To submit a formal refund or project cancellation request:

1. Submit a written cancellation notice by email to info@futuretempohub.click detailing the Statement of Work (SOW) reference number and primary corporate point of contact.
2. Our engagement management team will review the repository access logs and audit milestone progress within three (3) business days to determine the final reconciliation amount.
3. Approved refunds are processed via direct bank wire transfer within seven (7) to ten (10) business days following mutual execution of the cancellation agreement.
